CosmoAyu respects your privacy. This policy explains how we handle personal information when you visit cosmoayu.com, request an appointment, contact us, or enquire about our products.

The website is operated by CosmoAyu Clinic, Dharampeth, Nagpur (“CosmoAyu”, “we”).

1. Information we collect

You can browse our website without providing your name or contact details.

When you request an appointment or contact us, you may provide:

• Your name and phone number.
• Your general area of concern.
• Your preferred appointment day and time.
• Any additional information you choose to share.
• Product enquiry or order details.

Please share only the information needed for your enquiry. Avoid entering medical reports, identity documents, payment details, or detailed medical history in the website’s optional message field.

Our hosting provider may process technical information, such as IP addresses, browser details, requested pages, and access times, to operate and protect the website.

2. How we use your information

We use the information you provide to:

• Respond to your questions.
• Arrange, confirm, or reschedule appointments.
• Contact you about your requested consultation or service.
• Respond to product enquiries and process orders.
• Maintain necessary service and administrative records.
• Protect our website and meet applicable legal obligations.

An appointment enquiry does not automatically subscribe you to promotional messages. We will seek separate permission where required before sending marketing communications.

3. Appointment requests, our records and WhatsApp

When you press “Send request”, the details you entered in the appointment form, together with the page you sent it from and how you reached our website (for example, a search engine or a campaign link), are saved to the clinic’s enquiry records. These records are kept in Google Sheets in the clinic’s Google account, and only authorised clinic staff can open them. A copy of each request is also emailed to the clinic’s inbox so that our team can reply quickly.

The website confirms your request on screen with a reference number, and saves it in the background. Sending a WhatsApp message as well is optional. If the website cannot confirm that your request reached our records, it asks you to also send the prepared WhatsApp message or to call us.

Completing the website form or opening WhatsApp does not confirm an appointment. Our team will confirm availability separately.

The information entered into the form is included in the WhatsApp link used to prepare your message. Please avoid including sensitive details in the form or in that message.

WhatsApp processes information under its own privacy policy and terms. Once you send a message, CosmoAyu receives the information you choose to share and uses it to respond to your request.

4. Cookies, browser storage, and analytics

The website uses temporary browser session storage to remember how you reached the site, such as a referring website or campaign link. This information is attached to an appointment request if you send one, and it expires when the browser session ends.

We use Google Analytics, through Google Tag Manager, to understand how visitors use the website, for example which pages are visited and how often the call, WhatsApp, directions and appointment buttons are used. Google Analytics sets cookies (such as _ga) in your browser and processes information such as your approximate location, device, browser and the pages you view. We do not send your name, phone number, the details you type into the form, or your area of concern to Google Analytics, and we do not use it for advertising.

You can block or delete cookies in your browser settings, or use Google’s browser add-on to opt out of Google Analytics. The website continues to work without them.

If we introduce advertising cookies or additional tracking tools, we will update this policy and provide any choices or consent controls required by applicable law.

5. When information may be shared

We may share information with authorised clinic personnel and service providers who need it to handle your enquiry, appointment, order, or website operation.

These include our website host (Hostinger), Google (Google Sheets and Gmail for enquiry records, and Google Analytics and Google Tag Manager for website statistics), and WhatsApp when you choose to message us. Some providers may process information outside India.

We may also disclose information when required by law or a valid legal process.

We do not sell or rent your personal information.

6. How long we retain information

We retain personal information only for as long as reasonably needed for the purpose for which it was collected, including necessary follow-up, recordkeeping, and applicable legal requirements.

Information that becomes part of a clinical record may be subject to separate retention requirements.

You may contact us to request deletion of enquiry information. Some records may need to be retained where required or permitted by law.

7. Keeping information secure

We take reasonable measures to protect the personal information we handle and restrict access to people who need it for authorised purposes.

No website, messaging service, or electronic storage system can guarantee complete security.
